Event Terms

All events hosted at Villa Biscaya are subject to these terms, which form part of the Venue Agreement.

Effective: May 2025

Guest Conduct

  • The client is responsible for the conduct of all guests, contractors, staff and suppliers attending the event.

  • Villa Biscaya expects all guests to treat the property, its gardens and its surroundings with care and respect.

  • Any guest whose behaviour is deemed inappropriate or damaging may be asked to leave at the discretion of the Villa Biscaya representative on site.

  • The client accepts full responsibility for any damage, loss or additional cleaning costs caused by their guests.

Noise Restrictions

  • Villa Biscaya is located within a residential area and all events must comply with NSW noise regulations.

  • Amplified music and entertainment must cease by the time specified in the Venue Agreement (typically 10:00pm unless otherwise agreed in writing).

  • The client is responsible for ensuring all suppliers and entertainers are briefed on and adhere to noise restrictions.

  • Villa Biscaya reserves the right to request an immediate reduction in noise levels if restrictions are exceeded.

Vendor Coordination

  • All external vendors including caterers, florists, entertainment, stylists and hire companies must be approved by Villa Biscaya prior to the event.

  • Vendor access and bump-in times must be coordinated through Villa Biscaya and are to be specified in the run sheet submitted before the event date.

  • All vendors must carry their own public liability insurance. Certificates of currency may be requested.

  • No open flames, fireworks or pyrotechnics are permitted without prior written consent from Villa Biscaya.

Property Protection

  • No nails, pins, adhesive tape or fixings may be used on walls, ceilings, doors or any painted surfaces without prior written approval.

  • Garden furniture, artworks and fixed installations are not to be moved without the express permission of Villa Biscaya.

  • All hired equipment and personal items must be removed within the agreed bump-out window.

  • Any damage identified following an event will be assessed and the cost of repair or replacement invoiced to the client.

Setup & Pack-Down Expectations

  • Bump-in and bump-out times are as specified in the Venue Agreement. Access outside these windows is not guaranteed.

  • The client is responsible for ensuring the venue is left in a clean and tidy condition consistent with its pre-event state.

  • Professional cleaning is included in the venue hire fee. However, excessive cleaning requirements beyond normal use may attract an additional charge.

  • All vendor and hire equipment must be collected within the agreed pack-down window. Storage of items beyond this time is not available.

Catering & Alcohol

  • Villa Biscaya does not provide in-house catering. All food and beverage must be arranged through an approved external caterer.

  • The service of alcohol at all events must comply with NSW liquor licensing laws.

  • The client is responsible for ensuring responsible service of alcohol is observed at all times.

Right to Terminate

Villa Biscaya reserves the right to terminate an event in progress if any of these Event Terms are materially breached, including but not limited to noise violations, damage to the property or unsafe conduct. No refund will be provided in such circumstances.
