Booking Policy

Enquiry Process

  All bookings begin with a formal enquiry submitted via the Villa Biscaya website or directly by email.

• —

  Upon receipt of your enquiry, our team will assess availability and suitability for your requested date and event type.

• —

  An initial consultation may be arranged prior to the provision of a formal proposal.

• —

  Tentative holds on dates may be offered at the discretion of Villa Biscaya and are not guaranteed without a confirmed deposit.

Booking Confirmations

  A booking is only confirmed upon receipt of a signed Venue Agreement and payment of the required deposit.

• —

  All confirmed bookings will receive written confirmation including agreed event details, access times and conditions.

• —

  Verbal agreements, email discussions or social media communications do not constitute a confirmed booking.

Deposits & Payments

• —

  A non-refundable deposit of 30% of the agreed venue hire fee is required to secure your booking.

• —

  The remaining balance is due no later than 30 days prior to the confirmed event or production date.

• —

  For bookings made within 30 days of the event date, full payment is required at the time of confirmation.

• —

  All payments are to be made in Australian Dollars (AUD). Bank transfer details will be provided upon confirmation.

Scheduling & Access

  Access times, bump-in and bump-out windows are specified in the Venue Agreement and must be strictly observed.

• —

  Early access or extended access beyond agreed hours may be available upon request and is subject to additional fees.

• —

  Villa Biscaya reserves the right to specify access conditions including noise curfews, parking arrangements and approved contractor access.

Changes to Confirmed Bookings

  Requests to change a confirmed date are subject to availability and must be submitted in writing.

• —

  Date changes requested more than 60 days prior to the event may be accommodated at no additional charge, subject to availability.

• —

  Changes to event type, guest numbers or scope that materially alter the nature of the booking may require a revised agreement.

• —

  Villa Biscaya reserves the right to apply a variation fee for changes made within 30 days of the confirmed event date.

Security Bond

A refundable security bond may be required at the discretion of Villa Biscaya depending on the nature and scale of the event or production. Bond amounts and return conditions will be specified in the Venue Agreement.
